MOVE Retreats — Terms & Conditions

These Terms & Conditions apply to retreats organised and provided by MOVE – Movement for Living Well (“MOVE”).

Please read them carefully before making a booking. By paying a deposit or otherwise confirming a retreat booking, you agree to these Terms & Conditions.

1. Registering Your Interest and Booking

To register your interest in a MOVE retreat, please contact Stephanie using the enquiry form on the relevant retreat page and indicate your preferred accommodation type.

Submitting an enquiry does not reserve or guarantee a place.

Your booking is confirmed only when MOVE has confirmed availability and received the required deposit.

Places are subject to availability.

2. Deposit

A deposit is required to secure your retreat booking.

The amount of the deposit will be clearly stated on the relevant retreat page and/or in your booking information.

For retreats currently advertised in pounds sterling, the deposit is £300.

The deposit is non-refundable, except where MOVE cancels the retreat and the provisions under “Cancellation by MOVE” below apply, or where otherwise required by applicable law.

Future retreats may be priced and payable in euros. The applicable price, currency and deposit will always be confirmed before you book.

3. Balance Payment

The remaining balance is due no later than 90 days before the retreat begins.

If your booking is made within 90 days of the retreat start date, the full amount may be payable at the time the booking is confirmed.

If the balance is not received by the payment deadline, MOVE reserves the right to treat the booking as cancelled and retain the deposit, after making reasonable efforts to contact you.

4. Accommodation

Accommodation is included in the advertised retreat price unless expressly stated otherwise.

Single and double accommodation options may be available depending on the particular retreat and venue.

Accommodation preferences are subject to availability and are not guaranteed until confirmed by MOVE.

Any difference in price relating to room type or single occupancy will be communicated before your booking is confirmed.

5. Meals

Unless otherwise stated in the individual retreat description, the retreat price includes three meals per day during the retreat.

Please inform MOVE of relevant dietary requirements when booking.

MOVE will make reasonable efforts to accommodate dietary requirements but cannot guarantee that every dietary preference, allergy or intolerance can be accommodated by a particular venue. If you have a serious food allergy or specific medical dietary requirement, you should discuss this with MOVE before confirming your booking.

6. Cancellation by You

If you need to cancel your retreat, you must notify MOVE in writing by email.

Your cancellation will take effect from the date MOVE receives your written notification.

The deposit is non-refundable.

The following cancellation terms apply to payments made in addition to the deposit:

  • More than 120 days before the retreat begins:
    100% of any amount paid above the deposit will be refunded.

  • 91–120 days before the retreat begins:
    50% of any amount paid above the deposit will be refunded.

  • 31–90 days before the retreat begins:
    50% of any amount paid above the deposit will be refunded only if MOVE is able to refill your place.

  • 30 days or fewer before the retreat begins:
    No refund will be given.

Where a refund depends upon MOVE being able to refill your place, MOVE cannot guarantee that a replacement participant will be found.

These cancellation terms reflect the fact that MOVE may have committed to accommodation, venue and other retreat costs well in advance.

Nothing in these Terms & Conditions limits any mandatory cancellation or refund rights that may apply under applicable law.

7. Transfer of Your Place

You may request to transfer your retreat place to another person.

Transfers are not automatic and require prior written approval from MOVE.

MOVE reserves the right to determine whether the proposed replacement participant is suitable for the retreat, taking into consideration the nature of the retreat, the activities involved and any relevant individual circumstances.

Any transfer may also be subject to the agreement and requirements of the retreat venue or accommodation provider.

The replacement participant must agree to these Terms & Conditions and provide any information reasonably required by MOVE before the transfer can be confirmed.

8. Travel

Unless expressly stated otherwise, travel to and from the retreat is not included in the retreat price.

You are responsible for arranging and paying for your own flights and other travel.

Flights and travel arrangements are booked entirely at your own cost and risk. MOVE is not responsible for flight cancellations, delays, missed connections, transport disruption or other problems affecting your journey to or from the retreat.

You should not make non-refundable travel arrangements until MOVE has confirmed your retreat booking.

9. Travel Insurance

You are strongly advised to obtain comprehensive travel insurance as soon as your booking is confirmed.

Your insurance should be appropriate to your individual circumstances and should, where relevant, provide cover for:

  • cancellation or curtailment of your trip;

  • illness or injury;

  • medical treatment;

  • travel disruption, delays and cancelled flights;

  • loss of or damage to personal belongings; and

  • the activities you intend to participate in during the retreat.

You are responsible for checking that your chosen policy provides adequate cover.

MOVE's cancellation policy applies regardless of whether you are able to recover your losses through travel insurance.

10. Health and Participation

MOVE retreats include physical movement and exercise activities which may include Pilates, yoga, fascia-focused movement and other movement practices.

You are responsible for deciding whether the retreat and its activities are suitable for you.

You must inform MOVE before participating of any injury, medical condition, pregnancy, recent surgery or other circumstance that may materially affect your ability to participate safely.

If you are unsure whether participation is appropriate for you, you should seek advice from an appropriately qualified healthcare professional before attending.

During the retreat, you are responsible for working within your own capabilities, following the teacher's instructions and stopping any activity if you experience pain, dizziness, unusual shortness of breath or feel unwell.

Participation in individual activities is voluntary.

11. Changes to the Retreat

Retreat programmes and schedules are provided as a guide.

MOVE may make reasonable changes to the timetable, teachers, activities, meals, accommodation arrangements or other aspects of the retreat where necessary due to circumstances beyond MOVE's reasonable control or where a change is necessary for the effective or safe running of the retreat.

Where a significant change is necessary, MOVE will inform participants as soon as reasonably practicable.

12. Minimum Participant Numbers

MOVE reserves the right to specify a minimum number of participants required for a retreat to proceed.

If a retreat cannot reasonably proceed because minimum numbers have not been reached, MOVE may cancel the retreat.

MOVE will endeavour to make any such decision sufficiently in advance to allow participants reasonable time to change their travel arrangements.

For this reason, participants are strongly advised to ensure that travel arrangements are appropriately flexible or covered by suitable travel insurance.

13. Cancellation by MOVE

In the unlikely event that MOVE cancels a retreat and cannot offer a suitable alternative, payments you have made directly to MOVE for that retreat will be refunded.

MOVE is not responsible for reimbursing flights, transport, additional accommodation, insurance premiums or other costs you have independently incurred in connection with attending the retreat, except where liability cannot legally be excluded.

You are therefore strongly advised to obtain appropriate travel insurance and to check the cancellation terms of your travel arrangements.

14. Events Beyond Our Reasonable Control

MOVE will not be responsible for failure to provide, or necessary changes to, a retreat caused by events beyond its reasonable control.

These may include severe weather or natural disasters, fire, epidemic or pandemic restrictions, government action, strikes or transport disruption, closure or unavailability of a venue, or other exceptional circumstances that could not reasonably have been prevented.

Where such circumstances occur, MOVE will make reasonable efforts to provide an appropriate alternative or solution.

Your statutory rights are not affected.

15. Leaving a Retreat Early

If you choose to arrive late, leave the retreat early or do not participate in some or all of the activities, accommodation, meals or other services provided as part of the retreat, no refund will normally be given for the unused portion.

This does not affect any rights you may have where MOVE has failed to provide a material part of the retreat as agreed.

16. Personal Belongings

You are responsible for your own belongings during the retreat.

MOVE cannot accept responsibility for loss, theft or damage to personal property except where caused by circumstances for which MOVE is legally responsible.

17. Behaviour

Participants are expected to behave respectfully towards teachers, retreat staff, venue staff, other participants and the property in which the retreat takes place.

MOVE reserves the right to require a participant to leave a retreat where their behaviour presents a significant risk to themselves or others or seriously disrupts the retreat.

Where removal results from a participant's conduct, MOVE will not normally provide a refund for the unused portion of the retreat.

18. Liability

MOVE will take reasonable care in organising and delivering the retreat and its activities.

Physical activity carries inherent risks, and participants remain responsible for exercising within their own capabilities and following appropriate instructions.

Nothing in these Terms & Conditions excludes or limits liability where it would be unlawful to do so, including any mandatory rights or protections available under applicable consumer law.

19. Privacy

Personal information supplied in connection with a retreat will be handled in accordance with the MOVE Privacy Policy.

Information concerning dietary requirements, health or other individual needs will be used only where reasonably necessary to administer the retreat, support your participation or meet applicable legal obligations.

21. Applicable Law

These Terms & Conditions are governed by applicable Portuguese law.

Nothing in these Terms & Conditions deprives a consumer of any mandatory rights or protections available to them under applicable Portuguese or European Union consumer law.

By paying your deposit and confirming your booking, you acknowledge that you have read and accepted these Retreat Terms & Conditions.
