MOVE – Movement for Living Well (“MOVE”, “we”, “us” or “our”) respects your privacy and is committed to protecting your personal information.

your Momence account information;
classes, courses, retreats or sessions you book;
attendance information;
class plans, class packs and credits;
booking changes and cancellations; and
communications relating to your bookings.
Transaction information
We may maintain information concerning:
purchases;
amounts paid;
refunds;
payment dates;
invoices; and
other transaction records.
MOVE does not normally receive or store your complete payment-card details when payment is processed by a third-party payment provider.

You may choose, or in some circumstances need, to tell MOVE about information relevant to your safe participation in our services.
This may include information concerning:
injuries;
pregnancy;
relevant medical conditions;
recent surgery;
physical limitations;
allergies or dietary requirements for retreats; or

manage class plans, class packs and credits;

provide appropriate information relating to participation;
administer professional education and teacher training;
improve and operate our website and services;
maintain the security of our systems;

send marketing communications where we are lawfully permitted to do so.
4. Our Legal Bases for Processing
Under the GDPR, MOVE must have a lawful basis for processing personal information.
Depending upon the circumstances, we may process information because:
Contract – processing is necessary to enter into or perform a contract with you, for example to administer a class or retreat booking.
Legal obligation – processing is necessary for MOVE to comply with a legal requirement, such as tax or accounting obligations.
Legitimate interests – processing is necessary for MOVE's legitimate business interests, provided those interests are not overridden by your rights and interests. This may include administering and improving our services, responding to enquiries and protecting our business.
Consent – you have given consent for a particular use of your information, where consent is the appropriate legal basis.
Where we process special-category information, including health information, we will also rely upon an appropriate condition under applicable data protection law.
5. Marketing
MOVE may occasionally send information about classes, courses, retreats, workshops, teacher training or other MOVE activities.
Where consent is required for electronic marketing, we will ask for it separately.

Withdrawing marketing consent does not prevent MOVE from sending necessary service communications about something you have booked or purchased.
6. Squarespace
The MOVE website is hosted using Squarespace.
Squarespace may process certain website visitor and customer information in connection with hosting, security, website functionality, analytics and other services enabled by MOVE.
The precise information processed will depend upon the Squarespace functionality used on the website and your cookie choices.
7. Momence
MOVE uses Momence as a booking and customer-management platform.
When you create an account, book or purchase a MOVE service, relevant personal information may be processed through Momence for purposes including:
bookings and attendance;
class plans and packs;
payments and transactions;
customer account management;
communications; and
administration of MOVE services.
For customer information processed through the platform on MOVE's behalf, MOVE acts as the data controller and Momence may act as a data processor.
Momence may separately act as a controller for certain information it processes for its own purposes, as explained in its own privacy documentation.
8. Payment Processing
MOVE may use Stripe and/or other payment providers to process online payments.
Payment providers process the information necessary to authorise and administer transactions.
MOVE does not normally receive or store your complete payment-card details.
9. Live Online Services
MOVE Live Online services may use video-conferencing or online communication platforms such as Zoom.
When you access these services, the relevant provider may process information necessary to establish and operate the online session.
You should review the privacy information provided by the relevant platform if you would like further information about its processing.
MOVE will not record a Live Online class containing identifiable participants without providing appropriate information and obtaining consent where consent is required.
10. Retreats
When you book or enquire about a MOVE retreat, we may process information necessary to administer your participation.
This may include:
contact information;
booking and payment information;
accommodation preferences;
dietary requirements;
allergies or other relevant health information; and
information reasonably required by the accommodation or retreat venue.
Where necessary to fulfil your retreat booking, relevant information may be shared with the retreat venue, accommodation provider, catering provider or another service provider involved in delivering the retreat.
Only information reasonably necessary for that purpose will be shared.
11. Professional Education and Teacher Training
Where you participate in professional education or teacher training, MOVE may retain appropriate records relating to your enrolment, attendance, course completion, assessment and certification.
These records may be retained for a reasonable period where necessary to verify training or certification subsequently.
12. Who We Share Information With
MOVE does not sell your personal information.
We may share information with service providers where reasonably necessary to operate the business and provide our services.
These may include:
Squarespace;
Momence;
payment processors such as Stripe;
video-conferencing providers such as Zoom;
email and communications providers;
website and IT providers;
accountants and professional advisers;
retreat venues and accommodation providers; and
other suppliers necessary to provide a service you have requested.
Information may also be disclosed where required by law, to an appropriate public authority or where reasonably necessary to establish, exercise or defend legal rights.
13. International Transfers
Some of the technology and service providers used by MOVE may process or store personal information outside Portugal or the European Economic Area (“EEA”).
Where personal information is transferred outside the EEA, MOVE will rely on an appropriate transfer mechanism or safeguard where required by applicable data protection law.
These may include an adequacy decision, approved contractual safeguards or another lawful transfer mechanism.

The MOVE website uses cookies and similar technologies.
Some cookies are necessary for the website to function correctly.

The cookies used may vary depending upon the Squarespace functionality and third-party integrations enabled on the website.

15. How Long We Keep Personal Information
MOVE keeps personal information only for as long as reasonably necessary for the purposes for which it was collected and for any additional period required to satisfy legal, accounting, tax, insurance or regulatory obligations.
Different categories of information may therefore be retained for different periods.
For example, financial transaction records may need to be retained for statutory accounting or tax purposes after the customer relationship has ended.
Information that is no longer reasonably required will be deleted or anonymised where appropriate.

Withdrawing consent does not affect processing lawfully carried out before consent was withdrawn.
